Privacy Policy

What data we collect

We collect business contact information for individuals working at companies that align with our clients’ product fit: professional name, title, business email address, business phone number, business mailing address, and the company they work for. This data is sourced from publicly available business directories and lawful third-party vendors. We do not collect personal, consumer, or sensitive data.

How we use it

We use this data to send a small number of business-to-business introduction emails on behalf of the specialty manufacturer client(s) we represent. Each email is targeted based on industry, equipment, and role — not blast outreach. We track which messages are delivered, opened, clicked, replied to, or returned (bounced) to manage send quality and respect opt-outs.

Your rights

• Unsubscribe: click the unsubscribe link in any Polaris email. Your address is suppressed permanently across all clients we represent.
• Access: email privacy@polarisoutbound.com to request a copy of the data we hold about you.
• Deletion: email the address above to request full deletion of your record. We honor deletion within five business days.
• Correction: email the address above to update any inaccurate information.

Data sharing

We do not sell your data. When you reply to a Polaris email, the reply (and your professional contact identity) is forwarded to the represented manufacturer’s territory sales rep so they can respond to you directly. From that point forward, that communication is between you and the manufacturer; Polaris is no longer in the conversation path.

Data retention

We retain contact records as long as the represented client remains our customer. Contacts who unsubscribe are retained on a suppression list permanently to prevent re-contact. Contacts who request deletion are removed from active databases within five business days; suppression list entries (the email address only, no other data) remain to honor the opt-out.

Subprocessors

We use Resend (resend.com) for email delivery, Supabase (supabase.com) for our database, Railway (railway.com) for hosting, and Anthropic (anthropic.com) for AI-assisted email drafting. Each provides standard enterprise data-handling commitments and is disclosed here for transparency.
